HVACR Workforce Privacy Policy

HVACR Workforce is an internal workforce, safety and compliance application operated by HVACR Pty Ltd. Access is restricted to authorised employees, apprentices, contractors and other approved workforce users. The app does not provide public self-registration.
Information handled by HVACR Workforce
Depending on a user's role and use of the app, HVACR Workforce may handle:
- account and identity information, including name, work email, contact details and user identifiers;
- employment and workforce profile information relevant to the user's authorised role;
- licences, qualifications, credentials, training records and uploaded evidence;
- safety documents, SWMS acknowledgements and signatures, inspections, hazards, corrective actions and supporting evidence;
- workforce actions, requests, on-call information and other operational records;
- vehicle or fleet information where relevant to assigned duties;
- photos, PDFs and other files uploaded by authorised users; and
- authentication, security and audit information needed to operate and protect the service.
How information is used
Information is used to authenticate users and control access, administer workforce and training records, manage workplace health and safety and compliance processes, support operational workflows, maintain auditable records, communicate relevant workforce information, and secure, maintain and improve the system.
Sharing, service providers and advertising
HVACR Pty Ltd does not sell personal information and HVACR Workforce does not contain third-party advertising. Information may be available to authorised managers, administrators and personnel where required for legitimate workforce, safety, compliance or operational purposes.
HVACR Pty Ltd uses technology and service providers to host, authenticate, secure, store, deliver and support the application. Those providers may process information on our behalf as required to provide those services. Information may also be disclosed where required by law or a lawful authority, or where reasonably necessary to protect the rights, safety or security of HVACR Pty Ltd, its workforce or others.
Feedback and system learning
Feedback submitted through HVACR Workforce is recorded as a human observation. It is not automatically treated as a verified fact. System-generated patterns or recommendations remain unverified until supporting evidence is reviewed by an authorised person.
Storage, retention and security
Access is authenticated and role-controlled. HVACR Workforce uses access controls, audit records and other reasonable technical and organisational safeguards to protect restricted information. No electronic system can be guaranteed to be completely secure.
Records are retained for as long as reasonably required for workforce administration, workplace health and safety, training, compliance, legal, insurance, audit and legitimate business-record purposes, and are then deleted, de-identified or archived in accordance with applicable requirements and company policy.
Access, correction and account matters
Authorised users may be able to view or update some information directly in HVACR Workforce. Requests to access or correct personal information, or other privacy enquiries, can be made to HVACR Pty Ltd using the contact details below. Access to the application may be changed or removed when a user's role or relationship with HVACR Pty Ltd changes.
Workforce users under 18
HVACR Workforce is not directed to children or the general public. Where an authorised apprentice or other workforce member is under 18, information is handled for the same employment, training, safety, compliance and operational purposes described in this policy.
Changes to this policy
This policy may be updated when the application, business processes or applicable requirements change. The current version will remain published at this URL with its effective date.
